Procedures People Actually Follow

A thirty-page procedure is a document nobody opens.

Who this book is for

Sound familiar?

  • Writes the procedure, files it in a shared folder, and nobody opens it again.
  • New people learn by watching, so each learns a different version.
  • The procedure describes the ideal case, so real situations mean asking anyway.
  • Nobody owns updating it when the way of working changes.

After reading, you can

Help an ops person write short instructions placed where the work happens.

Each chapter answers one question

  1. Chapter 1: Is this guide written for auditors or for doers?

Where is the user of this document standing, and what do they need?

Instructions are read in the middle of the work, not in a training session.

  2. Chapter 2: Is "be careful" really a step anyone can follow?

What verb does each step in my document start with?

Each step must be an observable action, not a principle.

  3. Chapter 3: Clear to me, but clear to a newcomer?

Can a newcomer reading my document do it correctly?

A document is only finished when someone who has never done the task can do it without asking anyone.

  4. Chapter 4: Is a guide nobody updates still telling the truth?

Who owns this document, and how often do they review it?

A document without an owner gradually drifts from reality without anyone announcing it.

  5. Chapter 5: Do people skip the process from laziness, or bad design?

Which step in my process is regularly skipped?

People skip a process because it makes the work harder, not because they lack discipline.
